For many years, the Williamsburg Hotel & Motel Association has served sports events in the greater Williamsburg area by coordinating lodging for their organizers and participants. The association has been providing reservations service for the destination since 1976, and our experienced staff offers in-depth, on site knowledge of the area and of the sporting events reservations process. We book for more than 65 hotels, motels and bed and breakfasts in the Williamsburg area. Williamsburg Hotel & Motel Association properties provide 10% off their rack rates to participate in the tournament. They also give a rebate per room night to the organization sponsoring the tournament. The participating hotels/motels have to agree to a 72-hour by noon cancellation policy for all teams, and a 24-hour cancellation if the tournament is cancelled due to severe weather.
We work directly with the team contacts and help them find the best accommodations for their team. We have rates and availability prior to booking, so we can set up the blocks immediately. We have the list of participating hotels/motels on the website so the teams can take a look prior to booking. There is no deposit necessary to hold the rooms. We confirm the blocks immediately with the hotels/motels, and the parents call us to secure their individual rooms with their credit cards. This process releases any penalty from the group contact in the case of a no-show or cancellation within 72 hours.
Each agent continues contact, via email, with the group leader to let them know how many parents have called in and to see if any of the rooms need to be released prior to their deadline. We send them individual hotel confirmation numbers once the block is complete. We work with the team contact up until the tournament to make any changes or cancellations. After each event, we send out an email to each team to see how their stay was. We ask for any feedback (positive or negative).
We can set up complimentary rooms for the referees. The hotels give us comp. rooms for every 20 booked at their property.
Recently, with the addition of the new Greater Williamsburg Tourist Information Center and our partnership with the Williamsburg Area Restaurant Association, we have put together information packets for the teams that include discounts at participating restaurants, shops and attractions. The packets also include information about the Williamsburg area including a local map. We continue to work with the Restaurant Association to set up discounts and to coordinate with teams making group reservations for team dinners. This will benefit not only the group, but the restaurants as well.
